🏛 Customer: Cayman Islands Government
🎯 Challenge: Create a single destination where residents could discover community events from multiple organizations. Allow those organizations to enter their events to be visible to all residents.
💡 Solution: GroupCal embedded community calendar with Layered Calendars, Cards View, and real-time updates.
Outcome: A centralized, real-time community calendar that simplified event discovery throughout the Move it Cayman campaign.

When the Cayman Islands Government launched Move it Cayman, its goal was ambitious: inspire people across all three Cayman Islands to adopt healthier lifestyles through movement.
Led by the Ministry of Health, Environment & Sustainability, the nationwide initiative brought together government departments, fitness providers, healthcare organizations, sports clubs, businesses, and community groups to offer hundreds of activities over a 12-week campaign.
But organizing a national challenge takes more than creating great events.
People need to know those events exist.
The Government needed a simple way to publish events from multiple organizers, keep information updated in real time, and make it easy for residents to discover activities happening across the islands.
To achieve that, the Cayman Islands Government chose GroupCal.
By embedding a live community calendar directly into the official Step Into Wellness website, the Ministry created a single destination where citizens could explore events from multiple organizations through one beautiful, real-time experience

Rather than building a custom event management solution, the Cayman Islands Government selected GroupCal as the platform to power the official event experience for the Move it Cayman initiative.

The Challenge

The Move it Cayman initiative ran for approximately three months and included events taking place across multiple islands and communities.
New events were added every week.
Schedules changed.
New organizations joined the initiative.
Keeping everything updated manually on a traditional website would have been nearly impossible.
The Government needed a platform that could:

  • Publish community events instantly
  • Support multiple organizations contributing events
  • Protect existing events from being edited by someone other than the organization that owns them
  • Keep information synchronized automatically
  • Display events directly on the official Government website
  • Offer a modern browsing experience for citizens on desktop and mobile

Rather than building a custom event management solution, the Cayman Islands Government selected GroupCal to power a live, embedded community calendar that updated automatically throughout the campaign.

One Embedded Community Calendar. Multiple Community Calendars.

One of the most powerful capabilities used during the project was GroupCal’s Layered Calendars.
Instead of publishing separate calendars for different types of events, the Cayman Islands Government combined multiple calendars – including Free Events and Paid Events—into a single embedded calendar on the official Step Into Wellness website.
Residents didn’t need to search across multiple pages or calendars. They simply visited one destination and immediately saw everything happening across the islands in one unified view.
As events were added or updated, the website reflected those changes automatically in real time.
No spreadsheets.
No manual website updates.
No duplicated work.
Just one live community calendar that stayed current throughout the campaign.

To make discovering events even easier, the Government also adopted one of GroupCal’s newest features: Cards View.
Instead of displaying long agenda lists or traditional monthly calendar grids, Cards View presents every event as a rich visual card featuring an image, date and time, title, location, and other key details.
This visual approach made it easier for residents to browse upcoming activities, quickly find events that matched their interests, and explore everything the Move it Cayman campaign had to offer.
The result was a modern, engaging event discovery experience that felt much more intuitive than a traditional calendar.

GroupCal’s Layered Calendars combined multiple event calendars into one live embedded experience, while Cards View made discovering activities simple and visually engaging.

Embedded Community Calendar on the Government Website

One of the project’s biggest advantages was that citizens never had to leave the Government website.
The live GroupCal community calendar was embedded directly into the official Step Into Wellness portal, creating a seamless experience for visitors.
Residents could browse events exactly where they expected to find official information, while Government staff continued managing everything behind the scenes.
As events changed, the website stayed current automatically.
This eliminated the need to manually update web pages throughout the campaign.

Supporting Community Participation

Throughout the campaign, residents could discover a wide variety of activities, including:

  • Fitness classes
  • Family events
  • Community sports
  • Wellness workshops
  • Health consultations
  • Outdoor activities
  • Local community programs

Because everything appeared in one centralized location, participating in the campaign became much simpler.
Instead of searching across multiple websites or social media pages, residents had one trusted destination for discovering events.

A Platform Built for Collaboration

Large community initiatives often involve dozens of organizers.
That’s where GroupCal excels.
Each participating organization maintained ownership of its own events while contributing to one shared public experience.
This collaborative approach allowed the Government to coordinate a nationwide initiative without creating additional administrative overhead.
It’s a model that can easily be applied by municipalities, tourism boards, universities, nonprofit organizations, chambers of commerce, business improvement districts, and community associations.

One of the goals was to make community events as visible and accessible as possible. GroupCal alows much more than an event calendar – it allows to bring together events from multiple organizers into one centralized experience on the website. The Layered Calendars and Cards View made it incredibly easy for residents to discover activities throughout the campaign while allowing the team to keep everything updated in real time.

Why GroupCal Worked

During the Move it Cayman campaign, the Cayman Islands Government used GroupCal to:

  • Embed a live community calendar directly into the official Government website
  • Combine multiple calendars into one unified experience
  • Display visually rich event cards using Cards View
  • Synchronize updates automatically in real time
  • Improve event discovery for citizens
  • Reduce manual website maintenance

Why This Matters

The Move it Cayman initiative demonstrates how governments can modernize public engagement through better event management.
Instead of relying on static event pages, disconnected calendars, or scattered social media announcements, organizations can provide one centralized destination where citizens always find the latest activities.
For governments, this means better communication.
For organizers, it means easier event management.
For citizens, it means discovering more opportunities to participate.
